Privacy Policy

Last updated: August 20, 2026

This Privacy Policy explains how [legal entity name] (“TravailOS,” “we,” “us,” or “our”) collects, uses, and protects information when you use our workforce management platform, including our web application (app.travailos.com), our mobile applications, and our website (travailos.com) (collectively, the “Service”).

TravailOS is a business-to-business (“B2B”) product. Our direct customers are employers (“Companies”) who use TravailOS to manage scheduling, attendance, and leave for their own employees. If you are an employee using TravailOS because your employer has set up an account, your employer controls the underlying employment data, and this policy explains how we, as the processor of that data, handle it.

1. Information We Collect

Account and profile information

Name, email address, phone number, job title/role, and profile photo, provided by you or your employer when your account is created.

Employment and scheduling data

Shift schedules, site/location assignments, attendance and clock-in/clock-out records, leave requests and balances, and shift transfer/swap history — created and managed by you and your employer's administrators.

Device and location information

If your employer enables location-based clock-in verification, we collect device location at the time of clock-in/out to confirm you are at an approved site. We do not track location continuously or outside of the clock-in workflow.

Usage and technical data

Log data, device type, operating system, app version, and general usage analytics to help us maintain and improve the Service.

Communications

Notification preferences and delivery records (push and in-app notifications related to shifts, attendance, and leave).

2. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Service (scheduling, attendance tracking, leave management, notifications)
  • Authenticate users and enforce company-specific roles and permissions
  • Send notifications you or your employer have configured (e.g., shift changes, leave approvals)
  • Detect, prevent, and address technical issues, fraud, or misuse
  • Improve and develop new features
  • Comply with legal obligations

We do not sell personal information. We do not use employee data for targeted advertising.

3. Legal Basis for Processing (EEA/UK Users)

Where applicable data protection law requires a legal basis, we process personal data on the basis of: performance of a contract (providing the Service to your employer), legitimate interests (maintaining and improving the Service, security), and compliance with legal obligations. Your employer, as the data controller for employment records, is responsible for ensuring it has a lawful basis to collect and share your data with us.

4. How We Share Information

  • With your employer: Administrators and supervisors at your company can access scheduling, attendance, and leave data as configured by their permission settings, since this data is fundamentally part of the employment relationship.
  • Service providers: We use third-party providers for hosting, push notification delivery, and infrastructure (e.g., cloud hosting, notification services). These providers process data only on our instructions and under contractual confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of TravailOS, our users, or others.
  • Business transfers: If TravailOS is involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to this policy.

We do not share your personal data with unaffiliated third parties for their own marketing purposes.

5. Data Retention

We retain employment-related data (schedules, attendance, leave records) for as long as your employer maintains an active account and as needed to comply with legal, tax, and labor recordkeeping obligations, which vary by jurisdiction. If you delete your personal account, your access is removed, but historical work records remain with your employer's account as required for their own compliance obligations.

6. Your Rights

Depending on your location, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. Because your employer controls employment records, some requests (e.g., deleting attendance history) may need to be directed to or approved by your employer. You can reach us using the contact details below for any request, and we will route it appropriately.

7. Data Security

We use industry-standard technical and organizational measures — including encryption in transit, access controls, and permission-based data segregation between companies — to protect your information. No system is completely secure, and we cannot guarantee absolute security.

8. International Data Transfers

If you access the Service from outside the region where our servers are located, your information may be transferred internationally. We take steps to ensure such transfers comply with applicable data protection laws.

9. Children's Privacy

TravailOS is intended for use by employed adults and is not directed to children. We do not knowingly collect data from individuals under the minimum working age in their jurisdiction.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date, and where changes are material, we will provide additional notice.
